Data controller

Data the app stores

AutoActa stores your account data (email and name) and the content you create: projects, reports, photos, voice recordings, signatures and the email addresses of your report recipients.

Signatures are images drawn on the screen and are kept in file storage. We use no analytics tools.

Purposes and legal bases

To provide the service (create an account, manage projects and reports, generate PDFs and send them by email): performance of the contract.

To transcribe your voice recordings to text and generate a structured summary of the report section when you use that feature: performance of the contract.

To manage your subscription and plan limits: performance of the contract. Payment is made through the App Store or Google Play.

To answer your enquiries and keep the service secure: legitimate interest and, where needed, your consent.

Processors

Supabase: database, authentication and file storage (report images, signatures and PDFs).

OpenAI: transcription of voice recordings and generation of a structured summary. When you use the voice feature, the audio is sent to OpenAI through a server function to transcribe it; then the transcript, together with the title and text that the report section already has, is sent to an OpenAI chat model to generate the summary. This happens only when you use that feature.

International transfers

Retention

Cookies

We use no cookies. The login session is kept in the browser’s local storage (or in the device storage, in the app). It is strictly necessary for the console to work, so it needs no consent and no cookie banner. We use no analytics or advertising.
